How To Use Our Automated

Don't Risk Embarrassment of having your friends and contractors denied access to our community! Call the Pre-call system 482-6998


Guests and  vendors that are NOT on your permanent access list, or have NOT been identified with a call to the automated Pre-call system, (482-6998) will NOT be allowed to enter the community!

YOUR VISITING GUESTS WILL NOT BE GRANTED ACCESS TO THE COMMUNITY UNLESS YOU CALL AND NOTIFY THE GATE ACCESS COMPUTER ON THE DAY

 YOUR GUEST OR VENDORS ARE ARE SUPPOSED TO ARRIVE

Vendor & Contractor Access Procedures

  • Vendors are admitted to the community from 7 a.m. to 6 p.m. on Monday through Saturday.  If a vendor is not on the owner’s permanent list, owners are to notify security by calling 239 482 6998 to indicate the name of the vendor/guest and whether a one day or a three day pass is required.  Vendors are not admitted on Sundays.  Of course, ambulance, fire trucks or emergency type equipment of that nature are always admitted to the community. 

  • However, if there are other kinds of emergencies (air-conditioning breakdown, roof leak or other serious emergency) the Security Patrol will make the decision whether or not to make an exception and allow the vendor to be admitted to the community.  If the patrol is not comfortable making this decision, he/she contacts a member of the Master Association Board to make that determination. 


  • To enable you to easily notify both gates that you are expecting a non-resident guest or vendor that are NOT on your Permanent Access List, Gulf Harbour is using a new automated digital voicemail system that will make the security staff aware of your guest's expected arrival.  Remember... this system is NOT to be used for visitors or vendors on your Permanent Visitor Access Form... and you can ONLY call ON  the day your visitors are supposed to arrive... pre-call message do not carry over from one day to the next... 

Directions for using the Automated System:

  • With-in 24 hours of your guest or vendors arrival (no you can not call  2 days, 3 days, or a week in advance)
  • After the recorded greeting "Welcome to the Gulf Harbour Automated Access System" Press 3 to admit a guest or vendor.
  • If the telephone number from which the resident is calling is NOT recorded in the Gulf Harbour database, the voicemail system will prompt for a PIN number.  Your PIN number was mailed to you and should be kept confidential. 
  • Enter your PIN number if requested.
  • Speaking clearly at the Tone, record the name of your guest or vendor. 
  • Press 1 - to issue a 1 day pass
  • Press 2 - to issue a 3 day pass
  • For guest or vendor passes longer than 2 days you will need to speak to the privacy officer.  To do that Press 0.
  • When you are finished the system will thank you for calling and say Good-bye.

If the caller enters the PIN number incorrectly more that 3 times, the exit prompt will disconnect and say: "You have entered an invalid PIN.  Goodbye."

YOUR PERMANENT ACCESS LIST: Your permanent guest or vendor access list form must be filled out and turned into Suitor & Associates.  This list should be used for good friends, family, and regular vendors that visit your home.  Owners are responsible for keeping their Permanent Access List up to date.  NO VERBAL AMENDMENTS WILL BE ACCEPTED. The blank form can be printed on-line (community forms) or call Suitor & Associates at 437-0340 to get one sent.


HOLIDAY GATHERINGS: You MUST inform the gate house via the automated Guest Access System or your guests will NOT be allowed to enter the community!


LANDLORDS NOTE:  If you rent your unit, you (the owner) are responsible for getting your PIN number to the renter, or they will be unable to use the Automated Access system. Renters can opt to purchase a tag that will only be active during their rental period (you will need to provide Suitor & Associates with a copy of your lease).
